The moment an employee enters a new job or changes jobs, this must be properly processed in Business Central. This is done by adding a new user. To do this, records must be created in various places. For example, you need to fill in a new user card, fill in the user settings and the approval settings and much more.
When you move out of service or change the employee position, these records may need to be updated or even deleted. These steps are hugely error-prone, and the chance of forgetting something somewhere is not inconceivable. Fortunately, Authorization Box includes features that can support you in this process
Support within Authorization Box
Our template module within Authorization Box supports you in the process by automatically setting, adjusting or deleting all these settings based on the organization role. This module consists of several components, namely: Master Templates & Templates, Pre and Post Actions, Approval Templates and Free Fields.
1. Master Templates and Templates:
With the Master Templates and Templates it is possible to automatically fill fields based on a fixed value, information from the user card, data related to an organization role or from a nr series. Templates link an employee to an organization role and are triggered when the organization role is granted or revoked. So with the templates it is possible to fill for example the personal data like Email and phone number automatically in the user settings, but also organization role specific information like rights for approving time sheets.
2. Pre- and post-actions:
Pre- and post-actions are actions that are performed before or after assigning an organization role. A first action is that with templates records are filled or deleted based on the completed template. A second action is that there are batch actions that can go off automatically. Batches are code units or reports that go off before or after an organization role is assigned. For example, it is possible to create with a code unit that automatically creates timesheets for the entire year after assigning an organization role.
3. Approval Template:
With the Approval Template you easily set up your aprovals within Business Central. In template, you appoint a procurer and a substitute. Furthermore, you can set the limits for approval.
4. Free fields:
On the free fields page you can define table fields that you can use to set up the templates. Within the module you have free fields user, these fields are on the user card and free fields organization role, which are on the organization role. This allows you to add organization specific fields without costing you additional customization. This gives you legion of possibilities for setting up the templates.
